How to Manage TechPak Forms

You need the yet2.com TechPak form (a Microsoft® Word 2000 document) to create TechPaks to display on yet2.com. Authors create TechPaks exclusively off line using the TechPak form. Organizations can circulate forms internally as needed, using their own secure email systems. Once a form is uploaded, authors and administrators can check it out to edit it, and then check it in after off-line editing has been completed.

Overview

The flow of listings is as follows:

  1. The author downloads the TechPak form from the yet2.com Web site.
  2. An author creates a TechPak off line, and then uploads it to yet2.com (this does not submit the TechPak to the Web site).
  3. An author can check out the TechPak for additional editing. This is a process similar to downloading any other file. The author can then check in the edited document -- a process similar to the initial upload.
  4. The author submits the TechPak to the organization´s out-licensing Administrator. (Personal account holders submit the TechPak directly to yet2.com.)
  5. The Administrator optionally reviews the TechPak, and may check it out, edit it, and check it back in. (There are other commands that the Administrator can use on the TechPak.) Then the Administrator submits the TechPak to yet2.com.

When yet2.com approves the listing, the TechPak appears live on the Web site.

To retrieve a listing:
  1. From the Administrator´s My yet2.com page, click List a Technology | TechPak Manager.
  2. Click the Live Account Listings tab.
  3. Click the radio button of the listing you want to retrieve. The listing must read "yet2.com approved."
  4. Choose Retrieve from the pulldown list, and then click Go. yet2.com displays the Retrieve a Live TechPak page.
  5. Click Retrieve. yet2.com retrieves the listing and places it in the Action List with an annotation of Yes under Live. Live listings that appear in the Action List are usually very important. (The Action List usually shows listings that are not yet live.)

Important: A listing that has been retrieved is still live on the site. When you have completed your editing, you must re-submit the changed listing (now TechPak) to the yet2.com Administrator.

To retrieve a listing and take it off line:
  1. From the Administrator´s My yet2.com page, click List a Technology | TechPak Manager.
  2. Click the Live tab.
  3. Click the radio button of the listing you want to retrieve. The listing must read "yet2.com approved."
  4. Choose Retrieve from the pulldown list, and then click Go. yet2.com displays the Retrieve a Live TechPak page.
  5. Type the reason for taking the listing off line. For example, to update research data included in the listing. The yet2.com Administrator needs to review the request.
  6. Click Offline Request. yet2.com returns you to the Live Account Listings. Your request has gone to the yet2.com Administrator.
    • If the yet2.com Administrator approves your request to take the listing off line, the listing will appear on your Action List. There may be a delay between your request and the listing appearing on the Action List, depending on site traffic to the yet2.com Administrator.
    • If the yet2.com Administrator denies your request, you´ll receive an email with the reasons for the denial. The listing remains live on the site.

Important: If you have removed a listing from the site, you must re-submit it to the yet2.com Administrator to have it appear again.

To obtain a new blank document:
  1. Log in, and then click List a Technology on the toolbar.
  2. Click Download Off-Line TechPak Form.

To upload a completed new TechPak to My Drafts or Action List:

Make sure that the file for the TechPak you want to upload is available on your local computer.

Important: The size of a TechPak is limited to 5Mb. This means that a single TechPak file including any embedded illustrations or graphics cannot be larger than 5Mb.

  1. Log in, and then click List a Technology on the toolbar.
  2. Click Upload New TechPak on the gray bar. yet2.com displays the Upload page.
  3. Click Select to pick the document you want to upload. yet2.com displays a dialog box that allows you to browse for the TechPak you want to upload. You can also type in the pathname yourself.
  4. Pick the categories that apply to this TechPak. Category-picking isn´t light work: You have to imagine applications for the technology that may not have been proven or even investigated, yet, in order to help open the technology to a wider range of users. Similarly, selecting too many categories causes searchers to find technologies that may be inappropriate to their problems, and decreases your overall chance of licensing.
  5. For any attachments, click Add to add an attachment file name to the list of attachments accompanying your TechPak. (Remove deletes a selected attachment from the list of attachments.)
  6. Click Submit. yet2.com uploads the TechPak and any attachments in the attachments list.

The new TechPak appears on the TechPak Manager page under the Your Drafts tab (for a group member) or under the Action List tab (for a personal account holder or group Administrator).

To get the latest version of a TechPak:

You can get the latest version of a TechPak (whether or not it is live) as a Microsoft Word 2000 document. Getting the latest version is not the same as checking out a document. Because you have not checked the document out, you don´t need to check it back in, either.

  1. Log in, and then click List a Technology on the toolbar.
  2. Click TechPak Manager to display the TechPak Manager page.
  3. Click the All, Action List, My TechPaks, My Drafts, or Archived tab, as appropriate.
  4. Click the radio button corresponding to the TechPak whose latest version you want to get.
  5. Choose Get Latest Version from the pulldown list, and then click Go. yet2.com displays the Save As dialog box, and saves the document. (Some browsers automatically open the document at this point. You may need to save the document before you can write in it.)

To check out a TechPak for editing:

When you check out a TechPak, you prevent other people from also checking it out and editing it. You are responsible for the contents of the listing, and you must check it back in again before you can do anything with it (such as submitting it to yet2.com).

  1. Log in, and then click List a Technology on the toolbar.
  2. Click TechPak Manager to display the TechPak Manager page.
  3. Click the All, Action List, My TechPaks, or My Drafts tab, as appropriate.
  4. Click the radio button corresponding to the TechPak you want to edit.
  5. With the listing selected, choose Check Out from the pulldown list, and then click Go. yet2.com displays the Listing Check Out Information page. yet2.com automatically displays the Save As dialog box, and you can save the document. (Some browsers automatically open the document at this point. You may need to save the document before you can write in it.)

Important: If the Save As dialog box does not appear automatically, you can click Download to display it and save the document. You have already checked out the document. If you already have the latest version of the document (for example, you´ve just finished uploading it), there is no need to download it again; you can dismiss the Save As dialog box -- you have already checked out the document.

  1. Edit the document as necessary.

To check in a TechPak after editing:

Make sure that the file for the TechPak you want to check in is available on your local computer. The checked in TechPak appears in the same queue from which you checked it out.

  1. Click List a Technology | TechPak Manager, and then click the tab for the queue from which you checked the listing out. You´ll see the listing with the notation "Checked out to <your name>".
  2. Click the radio button corresponding to the listing.
  3. Choose Check In from the pulldown list. yet2.com displays the Upload a Listing page.
  4. Click Select to choose the file you want to check in. yet2.com displays a dialog box that allows you to browse for the file. Find the file, and then click OK.
  5. Choose Check In from the pulldown list, and then click Go. yet2.com displays the Upload page. The Upload page also lists the attachments that pertain to the TechPak.
  6. Click Select to pick the document you want to check in. yet2.com displays a dialog box that allows you to browse for the TechPak you want to check in. You can also type in the pathname yourself.
  7. For any attachments, click Add to add an attachment file name to the list of attachments accompanying your TechPak. (Remove deletes a selected attachment from the list of attachments.)
  8. Click Submit to upload and check in the document. yet2.com returns to the tab that displays the listing, with the listing showing the notation "Check in processing."

    Important: Check in takes only a few moments. The page continues displaying "Check in processing" until you have clicked another tab and returned. (Do not click the browser´s own Reload or Refresh buttons, as this re-submits the last command and may result in an error message.)

To submit a TechPak to your Out-Licensing Administrator:

Authors who are group members can submit an uploaded TechPak to the out-licensing Administrator from Your Drafts or All Your Listings. Personal account holders submit directly to yet2.com from the Action List.

  1. Log in, and then click List a Technology on the toolbar.
  2. Click TechPak Manager to display the TechPak Manager page.
  3. Click the My Drafts or My TechPaks tab, as appropriate.
  4. Click the radio button that corresponds to the TechPak you want to submit.
  5. Choose Submit to Admin from the pulldown list, and then click Go.

After you have submitted a TechPak to the Administrator, you can no longer check out or edit the listing (unless the Administrator returns the listing to you).

To submit a TechPak directly to yet2.com:

Group Administrators and personal account holders submit a TechPak directly to yet2.com from the Action List. Authors cannot submit a TechPak directly to yet2.com.

  1. Log in, and then click List a Technology on the toolbar.
  2. Click TechPak Manager to display the TechPak Manager page.
  3. Click the Action List tab.
  4. Click the radio button that corresponds to the TechPak you want to submit.
  5. Choose Submit to yet2.com from the pulldown list, and then click Go.

To convert an old-style technology listing to the TechPak format automatically:

You can convert a draft listing, an Action List listing, or a live listing from the previous technology listing format to the TechPak display format. Only the author of the listing can convert a draft listing; only the Administrator (or personal account holder) can convert a listing that is live or on the Action List. To convert a live listing, the Administrator (or personal account holder) must first Retrieve the listing.

  1. Log in, and then click List a Technology on the toolbar.
  2. Click TechPak Manager, and then click the appropriate tab -- My Drafts, Action List, Live.
  3. Click the radio button that corresponds to the document you want to convert.
  4. If the listing is live, choose Retrieve from the pulldown list, and then click Go. A retrieved listing appears on the Action List. Retrieving a listing does not remove it from the site. The remainder of these steps refer to either Draft or Action List.
  5. With the listing selected, choose Check Out from the pulldown list, and then click Go. yet2.com displays the Listing Check Out Information page. yet2.com automatically displays the Save As dialog box, and you can save the document. (Some browsers automatically open the document at this point. You may need to save the document before you can write in it.)

Important: If the Save As dialog box does not appear automatically, you can click Download to display it and save the document. You have already checked out the document.

  1. Edit the document as necessary.

After you have edited the document...

  1. Make sure you have the document present on your local computer, and then log in to yet2.com.
  2. Click List a Technology | TechPak Manager, and then click the tab for the queue from which you checked the listing out. You´ll see the listing with the notation "Checked out to <your name>".
  3. Click the radio button corresponding to the listing.
  4. Choose Check In from the pulldown list. yet2.com displays the Upload a Listing page.
  5. Click Select to choose the file you want to check in. yet2.com displays a dialog box that allows you to browse for the file. Find the file, and then click OK.
  6. Click Submit to upload and check in the document. yet2.com returns to the tab that displays the listing, with the listing showing the notation "Check in processing."

Important: Check in takes only a few moments. The page continues displaying "Check in processing" until you have clicked another tab and returned. (Do not click the browser´s own Reload or Refresh buttons, as this re-submits the last command and may result in an error message.)
